This guide walks a HubSpot user through CRMsynQ end to end: connecting your portal, telling CRMsynQ which property holds the LinkedIn URL, mapping the fields you want refreshed, choosing which contacts to keep current, and (optionally) turning on a daily email digest. The whole thing takes just a few minutes, and there's nothing to install — it all runs through HubSpot's OAuth and a simple web interface.
If you use another CRM, see our general setup and usage tutorial. This article focuses on the HubSpot-specific flow.
Go to app.crmsynq.com/login?crm=hubspot and click Connect on the HubSpot card. A secure HubSpot OAuth window opens where you sign in and approve access.
CRMsynQ requests only the scopes it needs to do its job:
Once you approve, the window closes and you're signed in to CRMsynQ. No credit card is needed, and your account starts with 50 free auto-updates so you can run the full flow on real data first.
For CRMsynQ to refresh a contact, it needs to know which HubSpot property stores that contact's LinkedIn profile URL. HubSpot ships a built-in LinkedIn URL contact property, and CRMsynQ auto-detects it for you during setup — so for most portals this step is already done.
If you dont see a LinkedIn URL property selected by default, you can choose a different one from the dropdown.
On the mapping screen you decide exactly which LinkedIn data flows into which HubSpot property. All of your contact properties appear together under the Person fields section, and CRMsynQ exposes 30+ LinkedIn fields to map from, including:
To get you started, CRMsynQ pre-fills sensible defaults for HubSpot:
| HubSpot property | Updated from LinkedIn |
|---|---|
Job Title (jobtitle) |
Current title |
| Associated Company | Current company |
Add or change mappings as you like. Anything you leave unmapped — custom notes, lead source, lifecycle stage, and other proprietary data — is never modified.
Keep this principle in mind throughout: only map the fields you want updated — anything left blank stays untouched. CRMsynQ never writes to a property you haven't mapped.
For HubSpot Contacts, CRMsynQ offers a useful enrichment toggle:
Auto-create missing companies from LinkedIn employers — When a contact's LinkedIn employer isn't in HubSpot yet, we'll create it and link the contact to it.
When enabled, CRMsynQ searches your portal for the contact's LinkedIn employer; if it doesn't exist, it creates the company record — populating name, website, phone, description, location, employee count, and the LinkedIn company page — and associates the contact to it. This keeps your company object as current as your contacts.
Now you'll define which contacts get refreshed and how often.
Name your schedule. Use a label you'll recognize later, like "US sales prospects" or "Active candidates."
Set the cadence. Under Refresh every, choose how often the schedule re-runs — from daily up to every 180 days. Most HubSpot teams use a weekly (7-day) refresh:
| Cadence | Best for |
|---|---|
| 1–3 days | Fast-moving outbound lists |
| 7 days (weekly) | Most sales and RevOps teams |
| 30 days (monthly) | Stable account lists |
| 60–180 days | Archival data you want kept technically accurate |
Choose your audience. For HubSpot you can target contacts two ways:
Use Preview matches to confirm how many contacts the schedule covers before saving. When it looks right, click Save schedule. CRMsynQ now refreshes those contacts in the background on your chosen cadence.
Open the Activity page to see exactly what CRMsynQ did — which contacts have been enriched and how it went. Each row shows the schedule that triggered the update, the contact (linked straight into HubSpot), the status (Done, Pending, or Failed), and when it last ran. Click View on any record for a clear field-by-field before-and-after comparison of every change.
Schedules are resilient: if one hits repeated errors — say, an expired HubSpot connection — it pauses automatically and resumes once the issue is fixed, so you never silently burn credits on a broken sync.
If you'd rather not check the Activity page, let CRMsynQ email you. On the Notifications page:
Get a daily email summarising the contacts whose fields we updated from LinkedIn. We only email you on days when at least one contact actually changed.
Flip on the Daily update digest toggle, pick a Send time, and set your Timezone. The email groups updates by schedule and shows a field · before · after breakdown for every changed contact, with a View full details link back to the Activity page. It's account-wide, sent at most once a day, and never sent on days when nothing changed.
CRMsynQ uses a simple, pay-as-you-go credit model — no subscriptions and no auto-renewal.
You can check your Available credits balance any time on the dashboard.
In a few steps your HubSpot portal now maintains itself:

CRMsynQ refreshes HubSpot Contacts from LinkedIn. It can also create and link Companies when you enable the auto-create option, but contacts are the records it keeps current.
Only the properties you explicitly map are ever updated. Everything else — custom notes, lead source, lifecycle stage, and other data — stays exactly as it is.
Yes. When creating a schedule, choose Segments (Lists) and select any HubSpot contact list. If you don't have one yet, the form links you to HubSpot to create the list first, or you can switch to Filter by field instead.
Through HubSpot's standard OAuth. You approve access to contacts, companies, schemas, lists, and owners — there's nothing to install and no API keys to manage.
One credit per contact a schedule processes, regardless of how many properties change — and a credit is used even when nothing changed, since each profile must be checked against LinkedIn. You start with 50 free updates and credits never expire.
The Activity page shows a before/after comparison for every contact, and you can enable a daily email digest on the Notifications page to get the same summary in your inbox.
